We are looking to hire an exceptional and experienced Personal Assistant who will provide one-to-one support to our Co-Founder.

Your role and duties:

  • Comprehensive organization of business and private trips (planning of trips, making necessary reservations).
  • Managing the Co - Founder calendar of meetings (including correspondence on his behalf).
  • Creating a positive image of the company and the Founder, both outside and inside the organization.
  • Dealing with personal tasks and commitments:
    • Supervising the quality of cooperation with subcontractors such as cleaning service, gardener, and other service providers.
    • Representing on the basis of POA in areas such as: filling out and submitting applications to Offices, document management related to cofunder's private investments, cooperation with a financial and accounting Office and with a tax advisor.
    • Property management (engaging subcontractors for house related troubleshooting, managing the security and access system, e.g. remote opening of the gate/home if the owners are not present).
    • Arranging courier shipments.
    • Taking care of matters related to car rental / leasing, insurance as well as ordering tire replacement & ordering IT equipment.
    • Ad hoc requests - e.g. ongoing support during the trips, obtaining the latest IT equipment that is not yet available in the official distribution.
    • Supporting the Co - Founder’s family in personal areas such as setting up doctor’s appointments, hairdressers and others, finding photographers etc.
  • In the absence of CEO’s Assistant:
    • Managing the meeting’s calendar of the CEO and the Core team,
    • Organizing and coordinating business travel for the CEO and Core,
    • Preparation of necessary documents, statements, reports,
    • Day-to-day execution of tasks assigned by the CEO and team leader.

We want you on board if you:

  • Have at least 12 months of professional experience in a similar position (including necessary experience in the organization of business trips, including travel abroad): must-have.
  • Have excellent command of English and Polish, both written and spoken (CEFR C1+): must-have.
  • Can easily use different tools (web and mobile applications) for scheduling meetings, easily communicate with different people, manage calendars and tasks or arrange business trips.
  • Have highly developed soft skills: the ability to talk face-to-face freely, drafting letters and emails in a tone that is adequate to the circumstances and adapted to the recipient in both Polish and English.
  • Put emphasis on discretion, responsiveness, and commitment.
  • Can organize your own work.
  • Are open to changes and flexible.
  • Have a passion for working with people and openness.
  • Are Located in Poland

It would be even nicer if you have:

  • Experience using Tripit, Calendly, Todoist, Apple's Wallet, Airline applications,, Contactsplus, Linkedin, Doodle, and Salesforce.
  • An interest in new technologies.
  • Basic knowledge of the diplomatic protocol.
